Where is my data stored?
On a server you control — your office, your colocation, your private cloud, or your laptop. TimeTrack Pro is installed software, not SaaS. A hosted SaaS option may come later but isn't the default.
Can I host this on Windows?
Yes. We ship signed Windows installers that register TimeTrack Pro as a Windows Service auto-starting on boot. Same story for macOS (launchd) and Linux (Docker). All three are supported equally.
Do you offer SaaS?
Not currently. We're on-prem-first because that's what regulated professional services firms need. Hosted SaaS is on the roadmap; subscribe to product updates and we'll let you know.
What's offline licensing?
For firms that physically can't (or won't) let the app contact our license server — air-gapped, VPN- only, "no outbound from finance" policy — we issue an offline-customer license. The app verifies the RSA-signed .lic locally and never phones home. Email-binding still prevents license sharing.
How do upgrades work?
Releases ship as signed installers (Windows .exe, macOS .dmg) and Docker tarballs. Stop the service, run the new installer (or
docker compose pull), restart. Migrations apply automatically on first launch via the first-boot bootstrap.Is the source code distributed?
No. The shipped artifacts (installers + Docker images) include only the compiled runtime. Source remains private to QuantumIT Partners. If you need source- available licensing for compliance reasons, contact us.
Is there a money-back guarantee?
The 14-day Trial tier lets you evaluate on your own hardware with no commitment. After purchase, refund policy is case-by-case — contact us if you genuinely tried the product and it doesn't fit.
What does it integrate with?
Plaid for bank account sync (read-only; transactions + balance only). QuickBooks via IIF export. SMTP for outbound email (Brevo, Resend, your own SMTP server). LEDES 1998B/2000 for insurance carrier electronic billing. No QuickBooks Online direct-sync today; on the roadmap.
Do you support tablet clock-in stations for field techs / warehouse / retail?
Yes. TimeTrack Pro ships a dedicated kiosk PWA — a tablet at the front door or job site that employees tap to clock in with a 4-6 digit PIN. Identity is captured via a first-of-day selfie (office context) or per-session job photos at clock-out (field context). Each kiosk is its own installable PWA icon; a single tablet can host multiple kiosk apps for different locations. Recovery PIN + Web Locks single-window guard + 16h max-session cap keep it safe for shared devices.
How does proof of work work for mixed firms (office + field)?
Two-level model. Tenant sets a default cadence: Weekly summary (one image per employee per week — best for consultants, lawyers, agencies), Per session (job photos at each kiosk clock-out or per-entry web upload — best for field techs), or None (identity kiosk selfies still run independently). Individual users can override the cadence — a mixed firm running tenant=weekly can flip specific field techs to per_session without touching the firm-wide setting. The master on/off gate stays per-user separate from the cadence.
What if a tech forgets to clock out?
Server rejects clock-outs where the session has been open more than 16 hours with a friendly error asking the tech to have an admin close it manually. Admins have a super_admin direct-edit escape hatch that patches any time entry regardless of status — no need for the reject → auto-draft → edit → re-approve dance. Every override is captured in the audit log.
What about payroll?
We don't do payroll. The overtime tag on time entries is for downstream consumption — your payroll provider (Gusto, ADP, Paychex) reads our exports and computes the actual OT pay. TimeTrack Pro tracks billable hours + invoices clients; it doesn't cut paychecks.
Can clients access TimeTrack Pro?
Not directly today. Clients receive invoices via email (PDF attached) and pay outside the system (check, wire, ACH). A client portal is on the roadmap.
What if I outgrow my tier?
Upgrade to the next tier — pay the price difference, we issue an updated .lic file, you drop it into Settings → License. No reinstall, no downtime.
Multi-tenant for a parent firm with subsidiaries?
Each tenant is one install today. For multi-tenant setups, run multiple TimeTrack Pro installs (one per subsidiary) on the same server with different ports. A proper multi-tenant SaaS mode is on the roadmap.
